Redaction by term

Redact participant names, addresses and plan numbers from a PDF by term

Enter the names, addresses and plan numbers that must not leave your organisation, and permanently black them out of the PDF. Redaction by term suits long documents, where finding every mention by eye is slow and easy to get wrong.

How it works

How to redact PDF terms

  1. Open Redact PDF Terms from Document Tools.
  2. Choose the PDF you want to redact.
  3. Enter the words or phrases to remove, such as a participant's name, address or plan number. Add each spelling or variant you expect to see.
  4. Run the redaction and download the new PDF.
  5. Check the finished file before it leaves the organisation. For signatures, stamps or scanned pages, use Visual PDF Redaction to draw a box over the area.
Why it matters

Built for the privacy checks NDIS providers do every week

Search by term, not by eye

List the words and phrases that must go, rather than scanning a long document page by page.

Irreversible by design

Redaction is permanent. Keep your original file if you need an unredacted copy.

Pairs with redaction by selection

Term search works on text. For signatures, stamps and messy scans, use Visual PDF Redaction to draw a box over the area.

Logged to the staff member

Every redaction is timestamped against the person who ran it, so you can show who prepared a file for release.

Accountability

Every action is tied to the staff member who ran it and timestamped. Output files are automatically deleted after a set retention window, so you stay audit-ready without the file clutter.

Common questions

Redact PDF Terms FAQ

Is term-based redaction permanent?

Yes. The redaction is irreversible, so keep your original file if you need an unredacted copy.

What is the difference between redacting terms and redacting by selection?

With terms, you enter the words or phrases to remove. With selection, you pick text or draw a box by hand. Use selection for signatures, stamps and scanned pages that cannot be searched as text.

Which details should I redact before sharing a participant document?

That depends on who is receiving it and what they need. Common examples are names, addresses, plan numbers and contact details. Check your own privacy policy and consent arrangements, and share only what the recipient needs.

Will it catch different spellings of a name?

It works from the words and phrases you enter, so list each variant you expect, such as a full name, a first name and any nickname.

Should I check the file afterwards?

Yes. Always review the redacted file before it leaves the organisation.

Who can use redaction?

Access is controlled in Admin Tools. You decide which staff can use Document Tools.
