Share-ready PDFs

Password protect PDFs before you send participant documents

Lock a PDF behind a password before it leaves your organisation, then remove the password later when it is no longer needed. Suited to the plans, reports and agreements providers send to participants, families and other services.

How it works

How to password protect a PDF

  1. Open Password Protect PDF from Document Tools.
  2. Choose the PDF you are about to share.
  3. Set a password and create the protected copy.
  4. Download the protected file and send it to the recipient.
  5. Give the recipient the password through a different channel, such as a phone call, rather than in the same email.
Why it matters

Built for sharing sensitive documents

Protect before you send

Lock a document behind a password before it is emailed, uploaded or handed over on a USB drive.

Remove it when you no longer need it

Use Remove PDF Password to strip the password from a file once it is no longer needed.

Fits the rest of your workflow

Combine or redact a file first, then password protect the finished copy.

No desktop software

Everything runs in the browser, so every staff member with access can use the same tool.

Accountability

Every action is tied to the staff member who ran it and timestamped. Output files are automatically deleted after a set retention window, so you stay audit-ready without the file clutter.

Common questions

Password Protect PDF FAQ

Should I email the password with the file?

No. Send it separately, for example by phone, so one misdirected email does not hand over both the file and the password.

Is a password enough to protect participant information?

It adds a useful layer, but it does not replace sharing only what the recipient needs. Redact details that are not needed, and follow your own privacy policy.

Can I remove the password later?

Yes. Remove PDF Password strips the password from a file once it is no longer needed.

What if I forget the password?

Record it somewhere secure when you set it. A password-protected PDF generally cannot be opened without the password, so keep your unprotected original until you are sure the recipient has what they need.

Can Remove PDF Password open a file I do not have the password for?

No. It is for files you are authorised to open, and you need to know the current password.

Who can use it?

Access is controlled in Admin Tools. You decide which staff can use Document Tools.
