Office sign-in & roll call

Office sign-in and emergency roll call built for NDIS providers

Know who is on site, right now. Sign staff, board members and visitors in on a tablet, keep a clean attendance record, and start an emergency roll call in one step instead of hunting for a paper sign-in book.

The problem with paper sign-in books

When the fire alarm sounds, a paper book tells you who might be in the building. Handwriting is hard to read, people forget to sign out, and visitors slip through. For NDIS providers, who look after people with disability and carry real safety and privacy duties, "probably" isn't good enough.

How it works

How the NDIS sign-in system works

1

Sign in at the kiosk

Staff tap their name and enter a 4-digit PIN, or scan their QR badge or phone. Visitors fill in a short form.

2

See who is on site, live

Your team sees a real-time list of staff, board members and visitors, with sign-in times.

3

Run a roll call when it matters

Start a fire drill or a real emergency and everyone on site appears on one list for wardens to mark safe.

What's included

Everything you need to manage on-site attendance

A staff sign-in kiosk that respects privacy

The tablet shows staff and board members only. Participants are never listed on the kiosk, so their names can't be read off a shared screen. They sign in by scanning their own badge, or an administrator signs them in. Staff can find their name fast with search, A–Z groups and Staff, Office or Board filters.

QR badges, and your ID on your phone

Print a QR badge for every person, or let staff open their Company ID on their phone. The phone QR code refreshes every 30 seconds and expires within 90, so an old screenshot stops working. Staff still enter their PIN, so a lost badge or phone can't sign them in on its own.

Visitor sign-in

Visitors give their name, organisation, phone number, reason for visiting and who they're seeing. You get a record of everyone who came through the door, and they appear on your emergency roll.

Emergency and fire drill roll call

Start a drill or a real emergency in one step. Everyone on site, including participants, appears on a live roll. Wardens mark people safe, add anyone missing, and late arrivals join the list automatically. Print a roll sheet, export a CSV, and keep a full history of every drill for your records.

Records you can trust

Every sign-in, correction and roll call is written to an audit trail. When someone forgets to sign out, an administrator can correct the entry, and the system asks for a reason. Export your attendance log to CSV whenever you need it.

QR code staff ID card designer and printing

Design staff and board ID cards, front and back, with a drag-and-drop editor: photo, name, job title, QR code and your logo. Print them on A4 sheets, or on a desktop card printer using print profiles for the Evolis Badgy and Primacy, Zebra ZC300, HID Fargo and Magicard.

Staff manage their own details

Staff can update their contact details, emergency contact and photo, change their password and change their own PIN, without waiting on an administrator.

Built for NDIS providers

Providers carry duties around safety, privacy and good records. This NDIS attendance system supports those duties by keeping an accurate, searchable attendance record, protecting participant privacy at the point of sign-in, and giving you a built-in emergency roll call. It was built inside a real NDIS provider, for NDIS providers.

Suits disability service offices, day programs, supported accommodation offices, support coordination teams and boards that meet on site.

Part of NDIS Tools

The sign-in system sits alongside NDIS Tools for documents, bookings, incident reporting, participant services and support, all under one login.

Common questions

NDIS Sign-In System FAQ

Does it replace timesheets or rostering?

No. It records who is on site and when. It isn't payroll, it doesn't create claims, and a sign-in shows someone was on site, not that a support was delivered. Use it alongside your rostering and payroll system.

Can participants sign in?

Yes, but never from the kiosk list. A participant scans their own badge, or an administrator signs them in. This keeps participant names off a shared screen.

What happens if someone forgets to sign out?

An administrator can correct the entry. The system records who made the change and why.

How does the emergency roll call work?

An administrator starts a drill or emergency. Everyone currently on site appears on a live list. Wardens mark each person safe, add anyone missing, and end the roll call when everyone is accounted for. The full history is kept.

Which devices does it run on?

The kiosk runs in the web browser on a modern tablet. Administrators and staff can use any phone or computer with a current browser. Nothing to install.

Which ID card printers does it support?

It prints to A4 sheets and to common CR80 card printers, with print profiles for the Evolis Badgy and Primacy, Zebra ZC300, HID Fargo and Magicard.

Does the system make us NDIS compliant?

No software can do that. It helps you keep accurate attendance and emergency records, which supports your own policies and procedures.
